PTO Meeting Minutes
12/5/02
I. Old Business
A. Play ground construction
1. 3-5th grade play ground – complete and a wonderful success  - thanks to
all who coordinated and participated!
2. Pre-K play ground – next project to obtain and install playground
equipment from Belle Vue to use at Chaires.
B. Book Fair – Another success – revenues to be announced
C. Gift Wrap - $13,000 revenues
D. Cookie Dough Sales - $5,000 - $6,000 revenues – a bit hit, consider in
the spring with pick up at Spring Festival
E. Humanities - $2,000 revenues, orders already returned and ready for
distribution

II. New Business
A. Silent Auction 12/17 Tuesday Agenda:
5:30 –6:00 silent auction bidding, dinner served (cost anticipated $4
kids, $6 adults)
6:00 – 6:30 entertainment – Ms. Kilpatrick to arrange
6:30 – 7:00 silent auction bidding
7:00 – 7:15  door prizes / bids tallied
7:15 – 7:30 announce winner of silent auction items

Donations – Nina Stone has lead. Ideas for donations:
Painted holiday shirts, gift certificates for dance, tutoring, hotels and
theme parks, attorney services – wills, etc, scrapbook start up kit (scrap
book market), travel agent offers, florist services (arrangements, etc).
Class parents - please call parents in your class and ask each to bring in
one donation to office.

Food – Jaqui Griffith* has lead. Volunteers at 2:00 to cook (heat) food
Volunteers are: April Haupt* Candy Coates* Julie Sander, Cynthia Mitchell
to assist (* to help with shopping)

Decoration – Coordinator needed to lead – contact Molly McKinstry if
interested 309-0848. Volunteers needed to set up and take down decorations
to decorate cafeteria.  Ideas include lights an garland over door way &
windows, potted plants from media center on stage, table décor. See what we
have to decorate with in PTO storage room, Nina Stone’s mother to donate
centerpieces for tables to be door prizes.

Silent Auction – Nina had lead.  Volunteers needed to set up, monitor
tables, pick up bid sheets, tally bid sheets, clean up.  Will also decorate
media center – cover bookshelves with table clothes display items on top.

B. Holiday Store – Julie Sander has lead to coordinate.  Consider sending
home a pre-order form to allow children to bring in exact change.  Julie
will determine shifts that need to be covered.

C. School purchases still needed
1. School sign – quotes presented with and without digital display (does
not include brick work).  Consider placement in front of school (Jaqui to
work on with Christi).
2. FCAT Prep materials – Jo Marie Olk has lead
3. Science Text Books – Ms. DeBroin has lead
4. Sound System for Cafeteria – Walmart to donate $1,000.  Ms. Kilpatrick
has lead – checking with Bucklake Elementary since they recently installed
a system and their cafeteria is same layout as Chaires.
5. Cafeteria tables – Gary has lead
6. Appreciation materials – seeking a donation from Partner to fund $2,000
in recognition materials

D. Discount Card considered - Carlita Lamarr presented the “Raiders Card”
she prepared for Rickard’s sports team use for discounts at local
businesses.  $3,000 for 600 cards, sell for $10 each – sell all = $3,000
profit.  Consider family-friendly vendors – dry cleaning 10% off, kid
friendly vendors, haircuts, shoes, school supplies, Barnaby’s, etc.
